Call sheet templateA free call sheet template, filled in with a real shoot day.

Most call sheets are last Tuesday's call sheet with the date changed. That is how wrong call times happen. This one is a real Day 1 from Midnight Diner, laid out the way crews read it. Copy the layout, or steal the boxes yours is missing.

How to fill it in

  1. Start from the schedule. The day's scenes and pages come from it, not from memory.
  2. Set the crew call first. Then give each actor their own call, working back from their makeup and wardrobe time.
  3. Put the full address and the parking on the sheet itself, not in an email thread.
  4. Add the nearest hospital and the weather the evening before.
  5. Send it the night before, and keep the copy you sent.

What goes on a call sheet

A call sheet answers one question for every person on the shoot: where do I need to be, and when? Everything on it exists to answer that question without a phone call.

The crew call is the time the whole crew is due. Actors usually get their own, later, call, because they spend time in makeup and wardrobe first and nobody wants them waiting around.

  • The day: production, day number, date, crew call and wrap
  • The location: address, parking, nearest hospital, weather and sunset
  • The scenes: number, set, interior or exterior, time of day, pages and cast
  • The cast: who plays each role and each actor's call
  • The crew by department, with their calls
  • Notes for the day

The sample, and why it looks like this

The sheet below is Day 1 of Midnight Diner: scenes 1 and 6, 6/8 pages, all at the Diner. That is a deliberate choice. Two scenes at one set, both at night, is the kind of day a schedule should build.

Blank boxes are on purpose. Address, parking, hospital and weather are the four fields people forget, so they stay in the template empty until someone fills them.

Do it in Spring Pro instead of retyping it

In Spring Pro the call sheet is not typed. Pick a day and the scenes fill in from the schedule, the cast and crew from the crew list, and the location from the locations page, with its address, parking and the facilities not sorted yet.

Move a scene to another day in the schedule and both sheets change. That is the point: the copy of a copy problem goes away. It prints. It does not email crews yet, so you still send the PDF yourself.

Three mistakes that cost a morning

None of these are exotic. They are what happens when a sheet is copied instead of built.

  • The same call time for everyone, including actors who are not needed until the afternoon
  • A scene order that does not match the shooting order, so the crew prepares the wrong set first
  • No nearest hospital, which nobody notices until someone needs one

Questions

What is a call sheet?

A call sheet is the one-page daily document that tells cast and crew where to be and when: the date, call times, location, scenes, cast, crew and notes for one shoot day.

What is the difference between crew call and shooting call?

Crew call is when the crew arrives and starts setting up. Shooting call, or first shot, is when the camera is planned to roll on the first setup of the day.

Who makes and sends the call sheet?

On most productions the 2nd assistant director prepares it from the schedule, the 1st assistant director approves it, and the production office sends it the evening before.
